Plan facility cleaning before seasonal illness disrupts the usual staffing pattern. Agree with EHS on surface cleaning, product selection, service coverage, and escalation. Surface disinfection is only part of a broader respiratory illness plan.

Planning service during staff illness

Suppose illness affects staff who support active research or manufacturing. The facility plan should identify backup contacts, authorized service coverage, and how schedule changes are communicated.

Coordinate cleaning with the broader site illness plan. EHS and the appropriate health advisers should define measures beyond surface work, including ventilation and occupancy guidance.

Know your high-touch points

Map frequently touched surfaces with the site team. Confirm who may clean shared equipment and which methods the equipment owner permits. Areas to review include:

  • Door handles and push plates — lab entries, restrooms, break rooms, stairwells, and conference rooms.
  • Shared equipment controls — centrifuge keypads, autoclave interfaces, liquid-handling instrument touchscreens, shared microscope knobs and eyepiece adjusters.
  • Break room surfaces — coffee machine controls, refrigerator handles, microwave keypads, countertops adjacent to the sink.
  • Conference room shared surfaces — A/V controllers, table centers, marker trays.
  • Elevator buttons and badge readers on high-traffic corridors.

Set the cleaning frequency with EHS using site conditions and the approved illness response plan. Record changes and confirm that staffing and supplies support them.

Disinfectant selection and contact time

Check the product label. Select an EPA-registered disinfectant with directions for the intended organism, surface, and use. Use the EPA product guidance to review registration and label instructions.

Keep the surface visibly wet for the full contact time specified on the product label. Follow the directions for dilution, application, and any reapplication. Do not substitute a generic contact time.

Surface compatibility is also relevant in lab environments. Stainless steel, painted surfaces, and electronic touchscreens each respond differently to common disinfectant chemistries. Quaternary ammonium compounds, accelerated hydrogen peroxide, and alcohol-based products each have surface compatibility profiles that should be confirmed before routine application on expensive equipment.

Follow the full label directions. Check preparation, contact time, PPE, and any rinsing or post-treatment requirements. Report a method that cannot maintain the required wet contact time.

Electrostatic application as a complement

Electrostatic application needs a product label that permits the method and a site-approved procedure. The EPA evaluation of electrostatic sprayers identifies wet contact time and exposure as factors requiring attention.

Follow the label instructions for precleaning and application. Do not assume that spraying provides complete coverage or replaces manual cleaning. Confirm equipment compatibility, access restrictions, and re-entry requirements with EHS.

Discuss any proposed method through our disinfection services review. Confirm suitability for the space and product before adding it to the scope.

Escalation and outbreak protocols

Agree on escalation responsibilities with EHS and the relevant site contacts before they are needed. The plan should state who can change the service scope, restrict access, and approve return to routine service.

For a room requiring additional treatment, follow the site response plan and product directions. Record the work and obtain the required authorization before reopening the area.

Documentation and close-out

Record the product, registration number, preparation, application method, surfaces, time, and worker according to the site procedure. Keep any escalation and release records with the work log.

Review completed work, supply gaps, staffing changes, and unresolved issues with EHS after the response period. Update the plan using those records.
