Changing a facility provider takes planning. A written handoff should cover staff access, supplies, task instructions, and responsibility for each service window.
Why change feels risky
Review who will tell security about the change, how the crew will learn area restrictions, and who owns existing supplies. Ask the outgoing provider to identify site knowledge that needs to be transferred.
Include proposal review, site walks, contract discussions, and early supervision in the transition plan. Assign an owner for questions during the handoff.
What a real transition looks like
Request a written handoff plan before the incoming crew starts. It should identify staffing, equipment, supplies, access, and communication responsibilities for the specific site.
Use the site walk to map surface types, access-controlled zones, equipment boundaries, and special handling requirements. Record the findings in the scope document.
Create a handover inventory with the site supervisor. Identify which keys, badges, dispensers, machines, and chemical supplies belong to the site or a provider. Assign responsibility for returns, replacements, and access changes. Confirm who handles open service requests so a reported problem remains assigned when the contract changes.
Crew onboarding and documentation
Review whether existing staff can remain, subject to employment and site requirements. Every assigned worker should complete the approved onboarding and supervised orientation before working independently.
Keep cleaning specifications, schedules, approved product lists, and equipment records where authorized staff can access them. Define the backup process when the usual supervisor is unavailable.
Have the incoming supervisor walk the agreed route with the crew. Ask workers to locate the current task instructions and explain how they report a locked room or missing supply. Record questions from the walkthrough, assign an owner, and confirm the answer reaches staff before they perform the affected work.
- Site-specific SOPs for each zone, written in plain language
- Chemical inventory and approval records by room classification
- Equipment assignment and maintenance log
- On-call escalation contacts for after-hours issues
Coverage overlap and initial review
Agree on any overlap with the outgoing provider and confirm access and employment arrangements. Set the initial supervision and review schedule according to site needs.
Set an initial review period in the agreement. Review work logs, variances, and unresolved questions with the new provider. Our process page describes the service planning conversation.
How to start the conversation
Start with a site walk and the current scope of work. Identify problem areas, access restrictions, and timing needs. Ask for the proposed scope and transition responsibilities in writing.
